Student Course Cancellation and Refund Policy

- Purpose
This Student Course Cancellation and Refund Policy sets out the terms and procedures applicable when a student wishes to cancel, withdraw from, defer, or discontinue a course or programme after registration and/or payment of fees.
The purpose of this policy is to ensure that course cancellations are handled fairly, transparently, consistently, and in accordance with the administrative and financial commitments of JOSBEN International Business School.
- Scope
This policy applies to all students enrolled in courses and programmes offered, delivered, marketed, or administered by JOSBEN International Business School, including professional, academic, executive, blended, and other approved programmes.
Where a programme is delivered or awarded by an external institution, awarding body, university, or JOSBEN International College UK, the terms and conditions of that institution or awarding body may also apply. Where applicable, students will be informed of such additional terms before or at the point of admission.
- Student’s Right to Cancel
A student may request cancellation of a course or programme by submitting a written cancellation request to the School’s Admissions or Administration Office.
The cancellation request must contain:
- Student’s full name;
- Student identification or registration number, where applicable;
- Name of the course or programme;
- Date of registration;
- Reason for cancellation;
- Date the student wishes the cancellation to take effect; and
- Relevant supporting documents, where applicable.
- A cancellation is not considered formally approved until the student receives written confirmation from the School.
- Cancellation Before the Commencement of Classes
Where a student cancels a course before the official commencement date, the School may consider a refund of eligible tuition fees, subject to the following deductions:
- Non-refundable registration or application fees;
- Administrative and processing charges;
- Examination, certification, awarding-body, or third-party fees already incurred;
- Any other costs that the School has already paid or become liable to pay on behalf of the student.
Any balance remaining after applicable deductions may be refunded to the student.
- Cancellation After Commencement of Classes
Once teaching, learning, orientation, examinations, access to learning platforms, course materials, or other programme services have commenced, tuition fees will generally be non-refundable.
However, Management may consider a partial refund or alternative arrangement where there are exceptional circumstances supported by appropriate evidence.
Examples of circumstances that may be considered include:
- Serious personal or family emergencies;
- Relocation that makes continued participation impracticable;
- Significant financial hardship arising after enrolment;
- Medical or other circumstances that substantially prevent participation; or
- Other circumstances that Management considers exceptional and reasonable.
- Approval of an exception remains at the discretion of the School and is not automatic.
- Refundable and Non-Refundable Fees
Unless otherwise stated in a student’s offer letter or programme-specific terms, the following fees are generally non-refundable once paid or incurred:
- Application fees;
- Registration fees;
- Admission/processing fees;
- Examination fees already committed or paid;
- Certification or awarding-body fees already commited or paid;
- Learning materials or resources already supplied;
- Third-party charges;
- Bank or payment-processing charges; and
- Other costs expressly identified as non-refundable before payment.
Where a student has paid fees directly to an external awarding body, university, or partner institution, any refund relating to those fees shall be subject to the refund policy of the relevant institution.
- Refunds for Instalment Payments
Where tuition is being paid in instalments, cancellation does not automatically entitle a student to recover instalments already paid.
The School will assess:
- The date of cancellation;
- The amount of tuition already paid;
- The portion of the programme already delivered;
- Services and resources already provided;
- Third-party costs incurred; and
- Any outstanding financial obligations of the student.
- Where a refund is approved, it will normally be calculated after deducting all applicable costs and liabilities.
- Course Deferral
Instead of cancelling a course, a student may request to defer their studies to a future intake.
A deferral request must be submitted in writing and approved by the School before the student stops attending classes.
Where approved, the School may:
- Transfer eligible tuition payments to a future intake;
- Apply an administrative or deferral fee;
- Require payment of any difference in programme fees;
- Impose a deadline by which the student must resume studies; or
- Require the student to reapply where the period of deferral exceeds the permitted period.
- Deferral is subject to programme availability and is not guaranteed.
- Cancellation Due to School-Initiated Circumstances
If JOSBEN International Business School cancels a programme before it commences for reasons within the School’s control, affected students will be notified as soon as reasonably practicable.
Depending on the circumstances, the School may offer one or more of the following:
- Transfer to another suitable programme;
- Transfer to a future intake;
- Credit of eligible fees toward another programme; or
- Refund of eligible fees paid for the cancelled programme.
- Where a programme involves an external awarding body or partner institution, the applicable terms of that institution will also be taken into consideration.
- Failure to Attend
A student’s failure to attend classes, lectures, tutorials, examinations, or other programme activities does not by itself constitute cancellation or create an automatic entitlement to a refund.
Students who intend to discontinue their studies must formally notify the School in accordance with this policy.
- Failure to Pay Fees
Where a student fails to pay fees by the required deadline, the School may suspend or terminate the student’s enrolment in accordance with the applicable fee-payment terms.
A student whose enrolment is suspended or terminated because of outstanding fees may not be entitled to a refund of amounts already paid.
Any outstanding balance owed to the School remains payable unless Management formally approves otherwise.
- Transfer to Another Programme
A student may request to transfer from one programme to another programme offered by the School.
Approval will depend on:
- Availability of the requested programme;
- The student’s eligibility;
- The stage of study;
- Differences in tuition fees;
- Administrative requirements; and
- Any applicable terms imposed by an external awarding body or partner institution.
- Where the new programme has a higher fee, the student shall pay the difference before the transfer is completed.
- Where the new programme has a lower fee, any credit or refund will be determined by Management and the applicable programme terms.
- Refund Procedure
Where a refund is approved, the student must provide accurate payment and banking information required to process the refund.
Refunds will normally be made to the original payer or through the original payment method, where practicable.
The School shall not be responsible for delays caused by banks, payment processors, incorrect student banking information, or circumstances outside the School’s reasonable control.
Approved refunds should normally be processed within 30 working days after final approval and receipt of all required documentation.
- Cancellation Request Deadline
Students should submit cancellation requests as soon as they decide not to continue with their programme.
Where a programme-specific cancellation deadline is stated in the student’s Offer Letter, Student Agreement, Fee Schedule, or other official programme documentation, that deadline shall apply.
- Exceptional Circumstances
Management may, at its discretion, consider a cancellation or refund request outside the normal terms where exceptional circumstances exist.
Students requesting consideration under this provision may be required to provide appropriate evidence.
Examples may include:
- Death of an immediate family member;
- Serious illness or incapacity;
- Major unforeseen family circumstances;
- Relocation due to employment or other unavoidable circumstances; or
- Other circumstances considered exceptional by Management.
- The submission of evidence does not guarantee approval.
- Appeals
A student who disagrees with a cancellation or refund decision may submit a written appeal to the Management of JOSBEN International Business School within 14 days of receiving the decision.
The appeal should clearly state the grounds for the appeal and include any additional evidence that the student wishes Management to consider.
Management’s decision following the appeal shall normally be final, subject to any rights the student may have under applicable law or the terms of an external awarding body or partner institution.
- Important Notice for International and Partner Programmes
Some JOSBEN programmes may involve external institutions, awarding bodies, universities, or JOSBEN International College UK. JOSBEN’s published programme information states that certain Level 3–7 programmes are delivered by JOSBEN International College UK and that students undertaking those programmes are directed to apply through the relevant institution and accept the terms and conditions accompanying their Offer of Admission. {“fallbackMarkdown”:”(JOSBEN INTERNATIONAL BUSINESS SCHOOL –
Accordingly, students enrolled on such programmes should carefully review their Offer of Admission and programme-specific terms before making payment.
Where there is a conflict between this general policy and a binding programme-specific agreement issued by the awarding institution, the applicable programme-specific terms shall govern the relevant matter.
- Student Responsibility
By accepting an offer of admission and/or making payment towards a programme, students are expected to read and understand:
- The programme terms and conditions;
- Fee schedule;
- Cancellation and refund provisions;
- Examination and certification requirements;
- Deferral provisions; and
- Any terms imposed by partner institutions or awarding bodies.
Students are encouraged to seek clarification from the School before making payment if they do not understand any aspect of the cancellation or refund arrangements.
- Policy Amendment
JOSBEN International Business School reserves the right to review and amend this policy where necessary.
Any material amendment shall be communicated through the School’s appropriate official channels and shall apply subject to applicable law and the terms of existing student agreements.
